The client had a fleet of drivers completing 50+ deliveries a day. Drivers would log jobs in a custom app, but the finance team was manually creating invoices in Xero at the end of the week based on spreadsheets.

The Solution: The Automated Invoice Loop

We didn't just automate the typing; we automated the logic. We built a background service that runs every night at midnight.

1. Fetch: The system pulls every completed job from the driver app for the last 24 hours.
2. Verify: It cross-references these jobs against the client rate cards (stored in a secure database) to calculate the exact cost, including overtime logic.
3. Draft: It creates a Draft invoice in Xero and attaches the delivery note as a PDF proof-of-delivery.
4. Alert: It sends a summary email to the finance manager saying: "23 Invoices drafted for R45,000. Click here to approve and send."

The Result: R130,000 Saved

The finance team no longer spends Fridays typing invoices. They spend Fridays chasing overdue payments and managing cash flow. The system paid for itself in less than two months.
